欧洲某大型玩具零售集团RPA案例分享

项目背景

欧洲某大型玩具零售集团,在英国、爱尔兰、马耳他等地拥有超过250家独立的玩具零售店,是欧洲独立玩具零售市场的重要组成部分。

作为一个专业的玩具零售采购集团,公司吸引许多独立玩具零售商加入会员。成为其会员的玩具零售商可以在保持完全独立性的同时,享受集团营销网络带来的好处。

公司犹如众多会员商家的“中央发票处理机”。每当有新商店加入集团采购组,公司都要从供应商处收集每一张发票,并集中处理所有交易。每年公司处理的交易超过4,000万英镑。

随着欧盟新立法的出台,进出口商品需要申报的项目多,人工手动处理海量发票成了公司财务管理上的一大挑战。于是,该公司决定在财务部门部署RPA机器人,以提高发票处理效率。

1.公司要为数百个会员商家准备独立的文件柜,每周邮寄两次发票,处理成本高。

2.月初收到的发票较少、业务量小,临近月末却要处理大量发票,人工手动处理效率低,不仅耗时费力,还容易出错或遗漏。

3.纸质材料多,无法集中评估会员,也增加了研究长期采购、销售趋势的难度。

实施RPA后

1.每个供应商都可以通过访问一个基于网络的应用程序,向公司提交电子发票。RPA可记录发票的详细信息,自动处理交易并存储相关数据,降低合规风险。

2.公司无需追踪纸质发票,节约了运营和维护成本。

3.RPA使公司能够集中访问会员商家和员工的绩效数据,获得更详细的信息,通过研究这些数据,更深入地研究集团范围内的业务模式。

实施效果

公司通过使用RPA,每年处理3万余张发票,仅邮费就节省了约12,000英镑。以往需要38名员工处理的所有发票,现在只需17人即可处理完成,大大降低了人力成本。

此外,RPA不仅方便了会员商家,也使集团内部员工更容易管理业务,腾出时间从事更有价值的工作。

With the rapid development of Internet and digital technology, the traditional toy retail industry is suffering from the impact of online shopping and electronic products, falling into a period of continuous malaise.

The company is like the "central invoice processor" of many member businesses. Whenever a new store joins the purchasing group, the company collects each invoice from the supplier and processes all transactions centrally. The company deals with more than £ 40m every year. 

With the release of new EU legislation, there are many items to declare for import and export goods. Manual processing of massive invoices has become a major challenge in the company's financial management. As a result, the company decided to deploy RPA in the financial department to improve the efficiency of invoice processing.

Before deploying RPA

1. The company has to prepare independent filing cabinets for hundreds of member businesses, mail invoices twice a week, and the processing cost is really high. 

2. The invoices received at the beginning of the month are few and the business volume is small, but a large number of invoices have to be processed near the end of the month. Manual processing is inefficient, not only time-consuming and laborious, but also prone to errors.    

3. There are too many paper materials to evaluate the members, which also makes it more difficult to study the long-term purchasing and sales trends.  

After deploying RPA

1. Supplier can submit an electronic invoice to the company by accessing a web-based application. RPA can record invoice details, automatically process transactions and store relevant data to reduce compliance risk.  

2. The company does not need to track paper invoices, saved operation and maintenance costs.  

3. RPA enables companies to access the performance data of member businesses and employees in a centralized way to obtain more detailed information. By studying these data, they can further study the business model within the group.

Implementation effect

By using RPA, the company can processe more than 30,000 invoices every year, saving about 12,000 pounds in postage. All invoices that used to be processed by 38 employees can now be processed by only 17 people, greatly reducing the labor cost.

In addition, RPA not only facilitates member businesses, but also makes it easier for employees within the group to manage their business and make time for more valuable work.
